Important update: Groupwise to Outlook migration

This is an important reminder that the Groupwise to Microsoft Outlook email migration will take place Friday, May 9 at noon through Sunday, May 11. You will not have access to the college email system during this period including access to calendars and contacts.

The following applies to our Microsoft Windows customers. If you use a Mac computer please contact the ITS Helpdesk for assistance with Outlook installation and Groupwise email archive migration.

Groupwise Email Archive Migration – Action required by Tues. May 6               

You may have a Groupwise email archive if you have exceeded your mailbox quota or received a new computer. This archive is migrated separately from your Groupwise mailbox and is self-initiated. Usually this archive is located on your local computer. Unsure if you’ve archived your mailbox? From within your Groupwise mailbox, click on your Online button to select Archive mailbox and review if you have any content. For anyone with multiple archive files or archives stored on other media such as a USB key, CD or network folder location, please contact the ITS Helpdesk for further instructions.

To migrate your Groupwise email archive you need to initiate the copy of your local archive folder from your computer to a central location for conversion by end of day Tuesday, May 6. From there the archives will be migrated by ITS and be available from within your Outlook client or through Outlook Web Access (OWA) on Monday, May 12. Please note if you are unable to copy your archive folder within this timeframe you will have an opportunity to migrate your archive folder after May 12.

To copy your local archive folder please navigate to the folder G:GroupwiseArchiverTool and double click on the file CopyArchive.vbs. If you are currently in Groupwise, you will see an information message pop up after a short interval. Click on the OK button to initiate the transfer.  If you are not logged into Groupwise, you will see the Groupwise password window pop up. Enter in your Groupwise password to continue the process and initiate the transfer.  A window will appear displaying the copying of your local Groupwise archive.  You will receive a ‘Success’ window pop up once the process is complete. 

You may see errors or warning messages if:

  • you close the window before completion
  • your system is unable to connect to the central location where the archives are copied to
  • your archive folder is over 5GB in size which is too large to use this process (an alternative process is available)
  • you have already copied your archive and are trying to run the copy process again

If any of these warnings apply to you, contact the ITS Helpdesk at ext. 7642 for further instructions.

Note: Please review your inbox and archived mail to delete/clean up any unneeded messages. Managing the amount of information that needs to be transferred from one system to another will help ensure a quicker, smoother transition.

Outlook Client Installation

The Outlook client installation will be initiated by your logging on to the network from your computer on Monday, May 12. If your computer is already logged on, please log off and on again to initiate the Outlook installation.

Microsoft Outlook training

Microsoft Outlook training is being offered through the Centre for Professional and Organizational Development (CPOD). Upcoming sessions are scheduled for:

Tuesday, May 6 – 8:30-10:30 a.m. – Welland Campus, Room M112

Thursday, May 8 – 1:30-3:30 p.m. – NOTL Campus, Room N302.
